Measure the clear area inside the mouldings. Distinguish the canvas size from the outside frame dimensions, and account for nearby switches, sconces and opening doors. If the painting sits over a mantel, show both the mantel width and the limits of the wall panel. These are boundaries for executing your selected image, not reasons to substitute another subject.

Choose the composition treatment before painting. Stretching a reference to fill a different ratio can alter faces, buildings and the spacing that made you choose the image.

• Preserve the full image: keep its ratio and agree how any surrounding space should be handled.
• Crop deliberately: mark the retained area, including details that must stay inside it.
• Adapt the composition: approve any repositioning or extension as a separate decision.

For a pair either side of a doorway, label left and right. Confirm whether the forms should face inward, mirror each other or remain exactly as supplied. A balanced pair does not always mean two identical crops.

If your framer will stretch or frame the work locally, ask them for their requirements in writing. Identify whether the quoted size refers to the painted face or a finished framed object. Discuss which edges need paint and keep essential details clear of any area that will wrap around a stretcher or disappear behind a frame.

A chosen frame profile may also cast a shadow over a narrow border. Show the profile or a photograph so the final composition can respect that visible edge.

A retained parquet floor, stone fireplace and new fabric can pull a palette in different directions. Tell us which relationship matters most. “Warm neutral” leaves room for a cream to become too yellow beside your stone or too pink beside your upholstery.

Send an unfiltered photograph of the relevant finishes and mark the colour priorities on the artwork reference. Distinguish an intentional contrast from a colour you want to echo. If you need physical colour comparison, discuss it before painting; approval on different screens has limits.

Ask for surface character explicitly, too. Visible brushwork and layered colour can give the canvas presence next to polished joinery, while a heavily ridged surface may be more assertive than your room needs. Specify the effect you want us to assess rather than relying on “luxury texture”.

Name the person who gives final approval and collect their comments into one marked reference. A designer, owner and local installer may each be checking different things; conflicting instructions can change a painting after its composition was already agreed.
