02 / Define the painting brief
A product image alone does not define a repeat order. Record the visible image area, crop, color priorities, edge treatment, texture, and frame choice against each SKU. Keep the approved sample photographs with that specification so later orders have a clear reference.
Start with a representative canvas that tests the details most likely to change: a pale background, fine line work, a portrait, or a strong textured surface. Agree which variations belong to hand painting and which features must remain consistent across the run.
Include the exact brand label, packaging insert, and product description you want reviewed in the quote. Branding and packing details need written agreement. Describe the work as newly hand painted to your design, and establish who can authorize design changes and final release.
03 / Prepare the order
Design files, SKU quantities, finished dimensions, palette references, presentation, labeling requirements, destination, and launch date.
Attach the chosen reference to each design and keep alternatives separate. We review the brief with you before production is confirmed.
04 / Confirm price and delivery

05 / Resolve the details
Include the label file, placement, packaging inserts, and any branding restrictions in the inquiry. We confirm what can be supplied in the written quote. Approval of the painting alone does not approve a packaging or labeling specification.
Send a numbered design list with quantity, size, and finish for each SKU. Identify shared colors and textures, then choose a representative sample that tests the difficult details. Keep alternative designs out of the final production folder.
The sample is priced as a separate single-piece order. Once you approve it, the production run is quoted on its own quantities and specifications. This keeps product development and stock purchasing clear.
Describe the requested exclusivity, territory, period, and source ownership in the brief. Any exclusivity must be expressly agreed in writing; private-label presentation by itself is not an exclusivity agreement.
