02 / Define the painting brief
Photograph the existing wall and measure the visible image areas and frames. Agree head scale, background, pose, and crop before adding another portrait. The source photographs should support those choices rather than force an accidental mismatch.
Supply the clearest available source and identify details that must be retained. Confirm the institution can authorize its use. When a photograph is soft or incomplete, resolve uncertain details with the reviewer before a painter interprets them.
Nominate one contact to consolidate comments from the committee. Include procurement steps, sample review, final approval, shipping, and installation in the event schedule. A painting date alone is not an unveiling date.
03 / Prepare the order
Approved photos, names and identifying details, existing display photos, dimensions, quantity, committee contact, and unveiling date.
Attach the chosen reference to each design and keep alternatives separate. We review the brief with you before production is confirmed.
04 / Confirm price and delivery

05 / Resolve the details
Photograph the wall straight on and measure the image area and frames. Provide clear references for pose, head scale, background tone, and presentation. We use those details to plan the new portrait rather than guessing from the sitter’s name.
Send the highest-resolution scan and identify architectural features that must remain recognizable. Additional photographs can clarify uncertain details. The institution should confirm permission to reproduce the image.
Nominate one contact to consolidate the committee’s comments. Approve the source and crop first, then review the actual canvas photographs against that record. This avoids conflicting instructions from separate reviewers.
Give the required receiving date when you inquire. We assess the reference, production, review, and delivery plan together. Allow time for procurement approval and local hanging as well as the painting itself.
